Check the pricing unit first
A per-desk monthly rate is not a whole-room monthly rate. A virtual office is an address-service package rather than a full-time private workspace.
A guide price per person helps frame a budget. It does not mean any office can be leased by multiplying headcount by the lowest published rate. The quotation needs to identify the actual room or package.
- Private office: whole-room price, layout and suitable occupancy.
- Dedicated desk: number of reserved positions and rate per position.
- Meeting room or session-based desk: billing period and minimum duration.
- Virtual office: address-service scope and any separately agreed workspace access.
Build a total monthly cost line
Monthly total = rent or package charge + recurring items not included + usage-based charges + applicable tax. Avoid double-counting included items or treating every on-site facility as free.
Check electricity, internet, parking, printing, meeting-room use, mail services and out-of-hours support. Mark missing figures as awaiting confirmation rather than silently removing them.
- Included items: confirm scope and allowances.
- Extras: ask for the charging basis.
- Tax: establish whether it is included.
- Promotions: record the term and qualifying conditions.
Average a promotion over the whole term
Average monthly rent equals total rent across all periods divided by the number of months. Include the period after the introductory rate ends.
Calculation example only, not a NORAHWAY quotation: 3 months at VND 20 million and 9 months at VND 30 million total VND 330 million over a year, averaging VND 27.5 million per month before tax and extras.
Separate the deposit from rental expense
Initial cash required includes the contractual deposit, rent paid in advance and any one-time charges. A refundable deposit is cash committed during the term, not automatically a rental expense.
Confirm payment dates, deposit-return conditions, room changes and early termination. These terms are not identical for every workspace package.
Turn your budget into a useful brief
For a VND 10–20 million monthly budget, compare the required desk count with any actual private-room options available. For VND 20–30 million or more, continue checking occupancy, term and inclusions rather than assuming a guaranteed room type.
Send NORAHWAY your headcount, preferred location, workspace type, start date and intended term. Ask for both the full-period total and the initial payment requirement.
